The following statement is a legal requirement upon myself to reassure you that I handle any data I may hold about you in a legal and responsible manner.<\/span><\/h1>\n

GDPR Privacy Notice<\/span><\/h4>\n

I am registered with the Information Commissioner’s Office (ICO) since I may hold your information in electronic format. Such information is handled in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018 (as amended by the Data (Use and Access) Act 2025). Please see the privacy notice in the appendix below for details on how your data is managed and how you can exercise your right to lodge a formal data protection complaint directly with me.<\/p>\n

Why I Process Your Data<\/b><\/h4>\n

I will process your personal and sensitive data (such as session notes) to safely deliver counselling services. My lawful bases under the UK GDPR are:<\/p>\n

  • Health and Social Care<\/b>: To process sensitive health-related data.<\/li>\n
  • Legitimate Interests<\/b>: To retain records after therapy ends to meet professional and insurance requirements.<\/li>\n<\/ul>\n

    What I Collect & How I Use It<\/b><\/h4>\n

    • Contact & Intake Details<\/b>: Your name, contact information, and sometimes emergency contacts to manage your appointments and safety.<\/li>\n
    • Session Notes<\/b>: Brief, anonymized records of our sessions to track clinical progress.<\/li>\n<\/ul>\n

      Data Storage & Retention<\/b><\/h4>\n

      • Security<\/b>: Digital records are stored in password-protected documents on password-protected\/encrypted devices; I do not keep paper records.<\/li>\n
      • Retention<\/b>: I keep your clinical records for 5 years after our final session, as required by my professional indemnity insurance. After this time, they are securely destroyed.<\/li>\n<\/ul>\n

        Confidentiality & Sharing<\/b><\/h4>\n

        Your information is kept strictly confidential. It will only be shared in the following exceptional circumstances:<\/p>\n

        • With my professional clinical supervisor (fully anonymized).<\/li>\n
        • If legally compelled by a court of law.<\/li>\n
        • If I believe there is a severe risk of serious harm to you or someone else.<\/li>\n
        • By my appointed Therapeutic Executor in the event of my sudden death or incapacity (contact details only).<\/li>\n<\/ul>\n

          Your Rights<\/b><\/h4>\n

          You have the right to request access to the data I hold about you, to rectify inaccuracies, or to object to its processing.<\/p>\n

          Data Protection Complaints Procedure (Updated June 2026)<\/b><\/h4>\n

          If you have any concerns or wish to make a formal complaint about how your personal data is collected, stored, or handled, you have a statutory right to complain directly to me as the data controller.<\/p>\n

          How to Complain<\/b>: Please submit your data protection concern in writing via email or text message using the contact details provided in this contract. Please include your name, contact information, and a clear description of your concern.<\/p>\n

          Timeline and Process<\/b>:<\/p>\n

          • I will formally acknowledge receipt of your complaint within 30 days.<\/li>\n
          • I will investigate the matter, make appropriate enquiries, and keep you informed of the progress without undue delay.<\/li>\n
          • I will notify you of the final outcome of the investigation as soon as it concludes.<\/li>\n<\/ul>\n

            Escalation to the ICO<\/b>: If you are not satisfied with my response, or you believe your data protection rights have been infringed, you retain the right to escalate your complaint to the Information Commissioner\u2019s Office (ICO). The ICO will typically expect you to have raised the issue with me directly through this process first.
